ProjectInbox supports Gmail (via OAuth), Microsoft Outlook / Microsoft 365 (via OAuth) and any IMAP mailbox such as Transip, Hostnet, one.com or your own mail server.

The AI analyses the sender, subject line, body text and any attached documents. It matches this against your existing projects based on project name, client, keywords and previous activity. When the AI is not certain enough it places the email in the "To be linked" inbox for manual review.

Yes, occasionally. That is why there is a confidence score per email and a separate "To be linked" inbox for emails the AI could not match with sufficient certainty. You check and correct these manually.

Yes. Emails are encrypted at rest and in transit. We never share your data with third parties or use it to train AI models. Read more in our privacy policy.

Solo costs €29/month (1 user, 1 mailbox). Team costs €19/user/month (minimum 2 users, multiple mailboxes). All prices excl. VAT. Cancel anytime, monthly.

Yes. You can upgrade from Solo to Team directly from your settings. Downgrading from Team to Solo is also possible; team members will be removed from your environment.

You can cancel your subscription at any time from your settings. Your environment remains accessible for 3 days after cancellation to review and export your data. After that access is blocked.

No. ProjectInbox is fully month-to-month. No minimum term, no setup fee, no hidden costs.

Only you (and your team members if you have a Team subscription). ProjectInbox staff can only access data for support purposes and only with your explicit permission.

Yes. ProjectInbox is operated by a Dutch company and complies with the General Data Protection Regulation (GDPR / AVG). We store data on European servers and have a processing agreement for all sub-processors.
